1 Introduction

Welcome to the Amani Care Ltd website (amanicare.co.uk). We are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Statement explains how we collect, use, and safeguard your data when you visit our website or interact with our services.

Amani Care Ltd is the Data Controller for the personal data we process.

2 The Information We Collect

We may collect and process the following data about you:

A. Information You Give Us

You may give us information by filling in forms on our website or by corresponding with us by phone, email, or otherwise. This includes when you:

  • Enquire about our care services
  • Apply for a job vacancy
  • Request a callback or assessment
  • Report a problem with our site

The information you give us may include your name, address, email address and phone number.

If you apply for a role with us, our application form also asks for the following, because we are a regulated care provider and must satisfy safer-recruitment and right-to-work requirements:

  • Employment history, qualifications and references
  • Your National Insurance number and right-to-work / immigration status details
  • Driving licence and vehicle details, where the role requires them
  • Next-of-kin / emergency contact details — please make sure that person is happy for you to share them
  • Health and disability information and details of any criminal record or DBS disclosure

Special category data. Health information, and information about a criminal record, are treated as “special category” and “criminal offence” data under UK GDPR. We collect them only because we must — to meet our safeguarding duties, to make reasonable adjustments, and to comply with the Health and Social Care Act and CQC regulations (Article 9(2)(b) and 9(2)(h) UK GDPR, and Schedule 1 of the Data Protection Act 2018). They are seen only by the small number of staff involved in recruitment decisions, and are never used for any other purpose.

B. Information We Collect Automatically

When you visit our website, we may automatically collect technical information, including:

  • The Internet Protocol (IP) address used to connect your computer to the Internet
  • Your browser type, version, time zone setting, operating system, and platform
  • Information about your visit, including the full URL clickstream to, through, and from our site

3 How We Use Your Information

  • To provide you with information: To respond to your enquiries about our care services
  • To process job applications: To assess your suitability for a role at Amani Care Ltd (in line with our Recruitment and Selection Policy)
  • To improve our site: To ensure our website is secure, functional, and easy to use
  • To comply with legal obligations: Where we are required to do so by law or by our regulator (CQC)

4 Legal Basis for Processing

We will only process your personal data where we have a legal basis to do so:

  • Consent: You have given us clear consent to process your personal data for a specific purpose
  • Contract: Processing is necessary for a contract we have with you, or because you have asked us to take steps before entering a contract
  • Legal Obligation: Processing is necessary for us to comply with the law (CQC regulations, employment law, safeguarding requirements)

5 Disclosure of Your Information

We respect your confidentiality. We will never sell your data to third parties. We may share your information with:

  • Selected third parties: Business partners and sub-contractors for the performance of any contract we enter into (e.g. IT support, website hosting)
  • Regulators: The Care Quality Commission (CQC) or Local Authorities, where required by law or for safeguarding purposes
  • Professional advisors: Lawyers, auditors, and insurance providers where necessary for business operations
  • Vetting and reference providers: The Disclosure and Barring Service (DBS), your named referees and previous employers, where you have applied for a role with us

Amani Access Service Ltd

Amani Access Service Ltd is our sister company and provides specialist SEND transport. It is a separate legal entity and a separate data controller, with its own privacy notice at amaniaccess.co.uk.

We do not routinely share your information with Amani Access Service Ltd. We will only pass your details to them where you have asked us to — for example, if you contact us about transport and ask us to refer your enquiry — or where the two companies share a legitimate interest in doing so, such as a joint recruitment process you have applied for. If you enquire or apply directly through the Amani Access website, that information is collected and held by Amani Access Service Ltd under its own privacy notice, not this one.

6 Data Security & Retention

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way. Access is limited to those employees and partners who have a business need to know.

  • Job Applications: Unsuccessful application data is typically held for 6 months then securely deleted
  • Service Enquiries: General enquiries are kept for 1 year after the last contact
  • Care Records: Retained in accordance with CQC guidance and legal requirements

7 Your Rights Under UK GDPR

Under the UK General Data Protection Regulation (GDPR), you have the following rights:

  • The right to be informed: To know how we use your data
  • The right of access: To request a copy of the information we hold about you (Subject Access Request)
  • The right to rectification: To have inaccurate data corrected
  • The right to erasure: To ask us to delete your data ("right to be forgotten")
  • The right to restrict processing: To ask us to limit how we use your data
  • The right to data portability: To get your data in a structured, commonly used format
  • The right to object: To object to how we use your data in certain circumstances

To exercise any of these rights, please contact us at info@amanicare.co.uk.
